How to Create Partner Journey Automation Workflow Actions

Purpose

In this article, Allbound Administrator will learn about the elements and how to properly set up a Partner Journey Automation (PJA) Action. Please scroll to the end of this article to view some Action examples.

 

Introduction

Partner Journey Automation (PJA) is a reactive automation engine that smoothly onboards and educates new partners into the Allbound platform. Simple-to-use and powered by triggers and actions, PJA makes collaboration... Allbound easy. A PJA workflow consists of one trigger and can have multiple actions.

*Note: only Allbound Administrator users with the System Settings permission enabled can create new PJA workflows

 

What is a PJA Action?

As you create PJA workflows, Actions will define what happens after the Trigger's criteria are met. A Trigger can prompt a singular Action or multiple Actions depending on your desired outcome. You can select the type of Actions you would like to add from the drop-down menu. There are three types of Actions you can create:

  • Email
  • A Zapier webhook connection
  • An advanced webhook connection

Creating PJA Workflow Actions

 

*Note: you must create a Trigger before creating any Actions!

 

1. "Send Email" Action

The email Action sends a message to the selected recipient’s email address that is registered in the
Allbound portal. Each singular email Action can have unique recipients, email subject and message. The email recipient list will adjust based on the Trigger settings, so you will need to set your Trigger settings prior to setting up the Action.

 

"Send Email" Recipients/Roles

Emails can be sent to a singular recipient or multiple recipients, based on the Allbound platform roles.

The roles apply to users as they are associated to the user’s primary company.

The "Action User" is the user that has taken the event set in the Trigger, (Example: User Has/User Has Not... Registered or Completed a Learning Track.)

 

Click on the "+ Add Recipients" prompt within the "Send To" field to make your selection.

 

Instead of choosing a user role from the drop-down menu, you may also copy/paste/type any email address into the "Send To" field.

 

*Note: the "Technical" and "Marketing" recipients/roles is an Allbound legacy feature; we no longer support these roles in the portal

"Send Email" Cc and/or Bcc Recipients

You can add a Cc and/or Bcc lines to the recipient rules and you can add multiple recipients to each line. Click the gray (x) in the light blue recipient box to remove that recipient. To remove the Cc or Bcc line, click the gray (x) to the right.

 

Instead of choosing a user role from the drop-down menu, you may also copy/paste/type any email address into the "Cc," and/or "Bcc" fields.

"Send Email" Message Subject

Crafting an email message in the PJA tool is similar to using any standard email client. Type the email subject in the Subject line:

"Send Email" Message Body

Use the "Message" box to craft your the body of your email. You have a number of formatting and merge tag options to help customize your email message. Use the Merge Tag drop down menu to dynamically populate text based on the user, their company and/or content-related information. The Merge Tag options will not populate until an event is selected in the Trigger. The list of merge tags is dependent on the event and therefore will differ slightly.

Use the formatting buttons to the left or the right of the merge tags (see below image) to create text that appears bold, italicized or underlined. The Text Styles will also allow you to add pre-set headline or sub-head formatting.

To view your message formatting:

Click on the eye icon

To continue to edit your message, click the eye icon again

 

Adding Multiple Actions to a PJA Workflow

You can have multiple Actions attached to a single Trigger. Example: you can send multiple unique email messages based on one Trigger. Use cases for having multiple Actions:

  • If you want to send one email to the Action User and then a second differently worded email to the Action User's manager
  • If you want to send one email to the Action User and then a Zapier connection to Slack about the same Trigger
  • If you want to send one email to the Action User and then an additional Advanced Webhook about the same Trigger

To add another Action, click the gray "+" button below the first Action.


To remove multiple Actions from your PJA workflow, click on the "Delete" button at the top of each Action box.

2. "Send to Zapier" Action

Once you create a Trigger in PJA, you can choose "Send to Zapier." Zapier is a powerful business automation platform that will allow you to connect to over 4,000 different applications so that the Triggers you create in Allbound can trigger events in other applications. Example: create PJA notifications in Slack or Microsoft Teams. Explore all connected apps in Zapier.

 

Paste the Zapier URL in the Zapier Webhook URL:
