Purpose
This article explains how to create and use Playbooks as an Allbound Administrator user and as a partner user. Also listed are our best practices.
Introduction
A Playbook is a collection of individual pieces of content that are organized around specific topics such as: Product, Industry, Type of Buyer, and more. They allow you to build out a folder structure within Allbound to help keep your content organized and easy to navigate. A Playbook can house Learning Tracks or other Playbooks. When a Playbook is nested into another Playbook, it creates a consolidated group.
Playbook Use Cases
Playbooks are especially useful for your partners as they often encounter sales-based scenarios on the above topics. With Playbooks, your partners can quickly access and share the appropriate content to support interactions with prospects; especially with our Allbound feature, Prospect Pages.
Where to Create a New Playbook as an Allbound Administrator user for Partner users
Allbound Administrator users can create Playbooks for their partner users to attach to Prospect Pages.
*Note: in order to create a Playbook, all pieces of content must first be uploaded into Allbound by an Allbound Administrator user with the Content Permission enabled
1. Login to the Allbound platform
2. Click on the Settings Gear icon in the top toolbar and then click "Content"
3. Click the "Playbooks" tile
4. Click the "Add Playbook" button
Components of Playbook Settings
When you create a new Playbook, the screen below will show:
A. Playbook Title
B. Playbook Body Description Text: Add a description for this Playbook. Include additional media by clicking "Add Media" and/or include an existing Form within your portal by clicking "Add Form"
C. Settings Box: Set this Playbook's settings between the "Content" and "Visibility" tabs (view outlined photos below)
D. Transposh Box: Displays real-time publication status
E. Publish Box: Displays official publication status with date, time, and visibility
F. Industry Filter Box: A box of filters that derives from your CRM integration. Can customize: instead of "Industry" label it something else
G. Featured Image Box: Upload a featured image for this piece of content from your portal's Media Library
Settings Box, Content Tab
A. Add Playbook Content: Click the drop-down menu to choose pieces of content to add to this Playbook
B. Visibility Options: Toggle on to hide this piece of content from the main content repository tab, "Content & Resources"
C. Set Priority (Optional:) Choose a number to organize this Playbook within the content repository tab, "Playbooks." "1" means the Playbook will appear at the top of the page, "9999" means the Playbook will appear at the bottom of the page; you can use all numbers in between
Settings Box, Visibility Tab
A. Group Visibility: Select which Group (Dynamic and/or Static) can view this Playbook. When enabled, only these selected Groups will be able to view this Playbook
B. Company Visibility: Select which Company in your portal can view this Playbook. When enabled, only these selected Companies will be able to view this Playbook
How to Create a Playbook as a Partner User
Partner users can create their own Playbooks to organize pieces of content they find informative and helpful. Partner user's personal Playbooks with display at the bottom of the "Playbooks" tab found in Dashboard's left-hand navigation panel.
1. Login to the Allbound platform
2. Either using the search bar in the top toolbar OR clicking into the "Content & Resources" repository, find the piece of content you wish to add to a Playbook
3. Click into the piece of content
4. Click the "+ Playbook" button
Where to View All Playbooks as an Allbound Administrator user or as a Partner user
1. Login to the Allbound platform
2. From the Dashboard, click on the "Playbook" tab in the left-hand navigation menu
Best Practices/Tips
- To successfully use the Playbooks feature, follow these best practices:
- Use Static and/or Dynamic Groups to ensure Playbooks are only visible to relevant users
- Use Dynamic Groups to create tiered Playbooks (Example: For a tiered Partner Program, a low-level partner can gain access to the next tier’s Playbooks once they reach the next tier of the Partner Program)
- Add Featured Images to each piece of content to help visually differentiate between the content
- The Set Priority option will help organize your Playbooks; “1” means the content will appear at the top, “9999” means the content will appear at the bottom; you can use all numbers in between to organize
