How to Set Up Standard Email Users

Purpose: The Allbound system uses the email domain to determine which account/Company the
user belongs to. However, there are users that do not have a corporate email address
and choose to use “standard” email addresses for work purposes.


These emails include (but are not limited to): Gmail.com, hotmail.com, yahoo.com,
aol.com, etc. 

So how do we account for these users without whitelisting standard email address?

1. Set up a “Standard Email” Company in Allbound

In the Company settings, whitelist the list of standard emails. This list can be modified at
any time, so no pressure to account for every possible domain.
Also, set the Status field to Pending. This will allow users to register an individual user
account with their standard email (if it appears whitelisted in the Company record), yet
will not be able to access the system until they are appropriately assigned to another
Active company record.

2. Create new user registration notifications

It will be important that a system administrator will be notified of a new user that
registers under the Standard Email company. The user will require manual intervention
and will want to be activated quickly.

User Registration Workflow

Now that you have your company and notification set up, you can now invite standard
email users to your partner portal. Below is the workflow:
1. User registers for an account using their standard email address. The registration
process will not appear any differently to the user.

2. Once the user registers, the system will send a notification to the email based on
settings in the User Registration Notification of System Settings.

3. An Allbound system administrator should access the user profile by clicking on
the link that follows “Manage this user at”

4. Under Company Associations, the Primary company will be the Standard Email
organization.

5. From the dropdown, select the correct Company that the user belongs to, and click
“Update User” to save.
