Public Vs. Private Media

When a media asset is set as "Public," and it is attached to a piece of content, it will be accessible to all users in your portal. Your users may share the piece of content via email and/or social media.

When a media asset is set as "Private," and it is attached to a piece of content, it will only be accessible for 60 minutes. Your users may still share the piece of content via email and/or social, but the link will expire after 60 minutes.

How to Set An Asset as "Private"

1. Navigate to the entire Media Library

2. With the search bar, find the asset, and then click on its thumbnail photo (if available)

3. A pop-up window named "Attachment Details" will populate

4. Click the blue "Public" link to change to "Private"

5. Click the "X" to close out the pop-up window and to save your changes

Best Practices

  • To ensure your documents remain confidential within the portal, follow this best practice:
    • Toggle "Private" mode for your assets that are considered confidential (Example: Price Sheets.) That way, the link will expire after 60 minutes.
