Purpose
With this article, you will gain an understanding of your Allbound portal's Media Library. Read below for instructions on how to upload and/or edit your files. Also listed are our recommended best practices/tips and frequently asked questions.
Introduction
Your portal is equipped with a Media Library where you may upload your assets to add to your pieces of content (PDFs, PPTs, images, etc.) When you upload your media, a shareable link will generate.
*Note: only Allbound Administrator users from your company with the Content and/or System Settings permission(s) enabled are allowed to view and/or upload items into the Media Library
Where to Access the Media Library
1. Login to the Allbound platform
2. Click the Settings Gear icon in the top toolbar and then click "Content"
3. Within the left-hand blue back-end panel, hover over "Media" to either view the whole library or to upload new content into it
How to Upload Content To the Media Library
1. Login to the Allbound platform
2. Click the Settings Gear icon in the top toolbar and then click "Content"
3. Within the left-hand blue back-end panel, with your mouse, hover over "Media" and then click "Add New"
4. Drop and/or select your files to upload. *Note: the maximum upload file size is 256 MB
5. When your file(s) have been uploaded, you may directly copy the file's URL to your clipboard and/or edit it
6. If you click "Edit" next to your file(s) name, you will be re-directed to the editing page
7. Edit your file and then click "Update" to save your changes. If you do not need to edit, close this page
Components of File Editing Page
When you edit your media, the screen below will show:
A. File Title
B. "Edit Image" button: click here to crop, scale, rotate, and/or flip the image
C. Alternative Text Field: Add your alternative text
D. Caption Field: Add a caption
E. Description Field: Add a description
F. Save Box: View file information and copy this file's URL
G. Offload Box: Shows information about file storage via Allbound
H. Replace Media Box: Replace the current file with a new one and/or remove the background from this file here
Where to View The Entire Media Library
1. Login to the Allbound platform
2. Click the Settings Gear icon the top toolbar and then click "Content"
3. Within the left-hand blue back-end panel, with your mouse, hover over "Media" and then click "Library"

Public Vs. Private Media
When a media asset is set as "Public," and it is attached to a piece of content, it will be accessible to all users in your portal. Your users may share the piece of content via email and/or social media.
When a media asset is set as "Private," and it is attached to a piece of content, it will only be accessible for 60 minutes. Your users may still share the piece of content via email and/or social, but the link will expire after 60 minutes.

How to Set An Asset as "Private"
1. Navigate to the entire Media Library
2. With the search bar, find the asset, and then click on its thumbnail photo (if available)
3. A pop-up window named "Attachment Details" will populate
4. Click the blue "Public" link to change to "Private"
5. Click the "X" to close out the pop-up window and to save your changes
Best Practices
- To ensure your documents remain confidential within the portal, follow this best practice:
- Toggle "Private" mode for your assets that are considered confidential (Example: Price Sheets.) That way, the link will expire after 60 minutes.

Q. Is there a way to export and/or download a spreadsheet that shows all of the items in the Media Library - file name, URL, date etc?
A. Currently, there is no way to export and/or download a spreadsheet for all of the items in the Media Library
Q. I am receiving an error message for my asset when I click "View Now" on a specific piece of content. How may I troubleshoot?
A. The best practice is to re-upload the asset into the Media Library
