How to Create Quizzes

Purpose

This article will instruct Allbound Administrator users step-by-step how to create Quizzes. Also listed are our best practices/tips and frequently asked questions.

 

Introduction

Allbound Quizzes are a type of form that can be created in the back-end of the Allbound platform with the application, Gravity Forms. The best use case for Quizzes is to add them to a Learning Track. When Allbound Administrator users add a quiz to a Learning Track, it provides additional confirmation that partner users are retaining all of the information. Quizzes will show as the last "step" within a Learning Track.

 

Where and How to Create a New Quiz Form

 

*Note: only Allbound Administrator users with the Content permission enabled may create quizzes

 

1. Login to the Allbound platform

2. Click on the Settings Gear icon in the top toolbar and then click "Content"

3. Within the left-hand blue navigation panel, with your mouse, hover over "Forms" and then click "New Form"

4. From the Gravity Forms template pop-up page, click "Blank Form"

5. Give the form a name. (A form description is optional.) And then click "Create Blank Form"

Components of Forms Page

When you create a new form, the screen below will show:

 

*Note: the below outlined screenshot shows Allbound Administrators the necessary sections to use when creating a new Quiz

A. Forms Drop-Down Menu: click here to navigate and edit between all of the forms in your portal

B. Form Settings Drop-Down Menu: click here to access the Form Settings, Form Confirmations, Form Notifications, Form Personal Data, and Quiz settings

C. Form Entries: click here to view which users have viewed this form

D. Form Body: use this space to create and/or edit a form

E. "Preview" button: click here to preview what the form will look like

F. "Save Form" button: click here to save the changes to this form

G. "Add Fields" tab: drag and drop these elements into the Form Body to create and layout a form

H. "Field Settings" tab: once an element has been dragged and dropped into the Form Body, use this section to customize any elements

 

How to Create a "Name" Field

As an Allbound Administrator user, it is obviously important to see who has taken a Quiz. It is the best practice to always add a "Name" field within every Quiz form. If you do not add a "Name" field, the Quiz will automatically assign the Quiz taker their Allbound ID number, which will prove difficult and confusing when generating reports.

 

*Note: only Allbound Administrator users with the Content permission enabled may create quizzes

 

1. From the "Standard Fields" section, drag and drop the "Single Line Text" box

2. Once you have dragged and dropped the field, with your mouse, hover over it and then click "Settings"

 

 

3. The right-hand panel will automatically switch to the "Field Settings" tab. Within the General Settings section, you may edit 3 fields:

  • Field Label
  • Description
  • API Database Key

Just like the below image, type "Name" in the "Field Label" and then type "name" in the "API Database Key"

A. Field Label: This is where to name the field, as we want to collect the user’s name, we can title this "Name"

B. Description box: This is used as helper text for all the fields

C. API Database Key: For every Standard Field you add to a Quiz form, this API key has to be populated. The best way to name this is to give it the same/similar name to the Field Label. The API key should always be in lowercase letters and if there are two words, separate them with an underscore. (Example: first_name)

 

4. Click away into the white Form Body to exit the "Field Settings" tab and to return to the "Add Standard Fields" section. And now, the field will update:

 

 

How to Create Quiz Questions

1. Within the right-hand panel, collapse the "Standard" fields section by clicking the arrow icon

2. Scroll down to the "Advanced" fields section

3. Click, drag, and drop the "Quiz" field into the Form Body

 

 

*Note: this "Quiz" field is how you add your quiz questions and answers. Add as many of these fields as you need to build out your Quiz

 

4. With your mouse, hover over the "Untitled Quiz Field" and then click "Settings" to add your Quiz questions and answers

 

 

How to Create Quiz Answers

1. With your mouse, hover over the "Untitled Quiz Field" and then click "Settings"

2. Within the "Field Settings" tab and the "General" section, you can type/fill out the...

  • Quiz Question
  • Description (helper text)
  • Quiz Field Types (radio buttons, drop-down, and/or checkboxes)
  • Quiz Choices

3. Within the "Quiz Field Type" field, choose how you would like your answers to appear

 

  • Drop Down and Radio Buttons are for a single answer
  • Checkboxes are used for multiple choice answers

 

 

 

4. Still within the "General" tab, scroll down and then click "Edit Choices" to add your answers

 

 

5. Delete the placeholder text (First Choice, Second Choice, etc.) and type your answers, if you have more than three choices, you can click on the "+" button to add another field or the "-" button to remove a field

 

 


6. Once you have added your choices, you need to choose the correct answer(s.) Click on the checkmark button next to the correct answer. The checkmark will turn green. If it is a multiple choice question, you can use the Description box to inform the user how many answers should be selected


 

How to Apply Grading to A Quiz

 

*Note: in order to add a Quiz to a Learning Track, a grading system must be applied

 

1. Next to the Forms Drop-Down Menu, click "Settings" and then scroll down and then click on "Quiz"

2. Toggle on the type of grading setting you want for this quiz. The two choices are:

  • Pass/Fail
  • Letter

 

 

Pass/Fail will allow you to pick what the passing percentage is:

 



 

Letter System allows you pick which letters are pass and which are fail. You can customize the Label and the Percentage

 

 

How to Apply Additional Quiz Settings

Next to the Forms Drop-Down Menu, click "Settings" and then scroll down and click on "Quiz"

The "Quiz Settings" Box

The "Quiz Settings" box shows two options:

  • Shuffle Quiz Fields
  • Instant Feedback

 

 

Shuffle Quiz Fields: Gives the users random order of questions

Instant Feedback: Tells the user if the answer is right or wrong before they submit the Quiz. This does not allow the user to change their answers

 

The "Pass/Fail Grading Options" Box

When toggled on, there are two "Pass/Fail Grading Options" boxes:

  • Quiz Confirmation
  • Quiz Fail Confirmation

These boxes allow you to customize the message that shows when a user clicks "Submit" on the Quiz.

 

If you would like all of the answers to display once the Quiz has been submitted, add a new line in the description box (under percentage), then go to the grade box, next to the "Add Media" button is a "Merge Tag" button, click this and search "All Quiz Results," and then scroll to the bottom of the page and save your changes.

 


 

If you are grading your Quiz using the Pass/Fail system, add the merge tag in both description boxes. If you are grading your Quiz using the Letter System, there is only one box to add it to.

 

Click the "Preview" button at the top right-hand corner to test out the functionality. Here you can see when a wrong answer is selected, it will highlight in bold the correct answer and give you a green checkmark or a red "X" to let the user know their answer was correct/wrong:

 



 

Where to View A Quiz's Results

Once enough users have taken this Quiz, a new tab will display at the top of the Quiz editing screen.

 

Next to the Forms Drop-Down Menu, click "Quiz Results"

 

 

This will give you an overview of the questions answered and average score:

 



Where to View a Quiz's Entries

Next to the Forms Drop-Down Menu, click "Entries."

 

 

The "Entries" view provides a more granular insight into who took the Quiz and what their answers were for each question. Each question created will have its own column.

 

 

 

All About the Quiz Confirmation Email

The Form Confirmations settings is where you can customize the email message the user receives once they submit their Quiz.

 

Where to View the Quiz Confirmation Email

Next to the Forms Drop-Down Menu, click "Settings" and then click "Confirmations"

How to Customize the Quiz Confirmation Email

1. Next to the Forms Drop-Down Menu, click "Settings" and then click "Confirmations"

2. With your mouse, hover over the confirmation name and then click "Edit"

 

 

3. The message displayed is the generic message for all forms. You may edit them to provide a more personalized response to your users:

 



 

Confirmation Types:

Text: This is default and will show the message you put here once the user submits the quiz

Page: This will allow you to redirect the user to another page in the portal once they submit the quiz

Redirect: This allows you to redirect the user to another URL

 

Best Practices/Tips

  • To completely customize and automate the "Name" single line text field, follow this best practice:
    • When you have dragged and dropped the "Single Line Text" element into your form, you may add a Merge Tag so that the user's name automatically populates into this field.
      • Instructions: with your mouse, hover over the "Single Line Text" element and then click "Settings" > expand the "Advanced" section by clicking on the arrow icon > next to the "Default Value" field, click the Merge Tag button {..} > use the provided search bar to look for "User Display Name" > click the "Save Form" button to save your changes. This now means, every time a user goes to take the Quiz, it will automatically populate their first and last name.

 

 

 

  • To easily upload numerous Quiz answers into your Quiz form, follow this best practice:
    • If you are creating your Quiz answers and you have a few choices, you can click on the "Add Bulk Choices" button. This method saves you time from manually typing out your Quiz answers.
    • Instructions: with your mouse, hover over the Quiz question element and then click "Settings" > expand the "General" section by clicking on the arrow icon > scroll down and then click the "Edit Choices" button > click the "Bulk Add / Predefined Choices" button > completely delete the text from the box on the right-hand side > copy and paste your desired Quiz answers into the box on the right-hand side > when finished, click the "Insert Choices" button > click the "Save Form" button to save your changes.

Frequently Asked Questions

 

Q.   Can we limit how many attempts a partner user has for a Quiz in the platform?

A.   At this time, we do not limit the attempts per user

Q.   For the "Fill in the Blank" answers, do the responses have to match exactly?

A.   In general, the answers do need to match. The answers do not have to be case-sensitive. As a best practice, we do not recommend fill in the blank answers for a Quiz

Q.   While the partner users are taking a Quiz, can they see an overview of which questions they failed? (For example: "You got 50% correct!" And then it shows right/wrong answers)

A.   Yes, Allbound Administrator users can add the option to display the correct answer(s) after the partner user(s) select their answer (see How to Apply Additional Quiz Settings)

Q.   Is there an option to add images to a Quiz?

A.   Yes, you can add images to Quizzes, however, some HTML coding is required (see How to Add Images to Gravity Forms)

Q.   If there is an HTML block in the Quiz, will it still allow the Quiz to be used as a Quiz, or will the formatting be skewed?

A.   Formatting will remain the same, an HTML block is just a text box in Wordpress
