How to Use Co/Labs

Purpose

This article will instruct all Allbound users how to use and set up Allbound's Co/Labs feature. Also included are our best practices/tips and frequently asked questions.

 

Introduction

Co/Labs acts as a one-stop communication center within the Allbound portal. It is similar to an instant message platform. All Allbound users regardless of their user role can leverage Co/Labs with the Pipeline and pieces of Content. Co/Labs is beneficial for partner company communication to ensure everyone is on the same page.

 

Where to Access Co/Labs

1. Login to the Allbound platform

2. Click on the 3-People "Communities" icon and it will open the Co/Labs tab

How to Create a New Co/Lab

1. Click on the 3-People "Communities" icon, within the Co/Labs tab, click the "+" icon and/or the "Start a Co/Lab" button

2. A pop-up window will emerge. You can add a Co/Lab Name and Description (optional)

3. To invite other users to join this Co/Lab, click the white space in the "Invite Others to Join" field. A drop-down menu will show you all of the users from your primary company and all MDF approvers. Choose which users to invite. When finished, click the "Create Co/Lab" button

4. The Co/Lab window will open

A. "Update Co/Lab" button: click here to save your changes to this Co/Lab

B. Message Window: this is where you can send your messages

C. Co/Lab Members box: click the "Invite" button to invite other users. This box will also show all of the members of this Co/Lab

D. Co/Lab Content box 1: use this drop-down menu to find and attach a piece of Allbound content to this Co/Lab

E. Co/Lab Content box 2: use this file upload button to attach your own files from your computer to this Co/Lab

F. Shared Content section: this section will show a list of the pieces of content/files associated with this Co/Lab

How to Start a Co/Lab for a Deal

1. From the Dashboard, within the left navigation panel, click on the "Pipeline" tab

2. Find and click on the name of your desired Deal

3. Click on the "Engagement" tab

4. Click on the "+" button next to "Co/Labs" to create a new Co/Lab specifically for this one Deal

 

*Note: this Co/Lab will only be available to the Allbound users who are associated to this specific deal

Co/Lab Notifications

If users are logged into the Allbound portal, they will receive a notification under the bell icon. A green dot over the bell icon informs the user there is a new notification.

If a user is not logged into the Allbound portal, they will receive an email notification at the end of the day if there has been an update to the Co/Lab.

 

Co/Lab Visibility Rules

The drop-down list of invitees to your Co/Lab will depend on which company/companies you are associated with, if you are not associated with a partner’s company, you will not be able to start a Co/Lab with that user. The only exception is any user that is an MDF Approver, no matter what company they are from, you may add them to any Co/Lab you create.

 

Best Practices/Tips

  • To best utilize the Allbound Co/Labs feature, follow these best practices:
    • All Allbound users may use the Co/Labs feature to collaborate on documents, deals, whatever you like, the sky is the limit!
    • Encourage your users to use the Co/Labs feature to continuously drive the momentum and communication for a deal for higher close rates.

 

Frequently Asked Questions

Q.   Can we integrate Allbound's Co/Labs with other platforms? (Ex. Microsoft Teams?)

A.   Currently, we do not integrate Co/Labs with other platforms. The objective is to promote partner users in one platform and maintain all actions and communications from one source of truth

Q.   Is it possible to hide or remove the File Upload option on a Co/Lab?

A.   It is possible. For this customization, please submit a support ticket

Q.   If someone accidentally deletes a Co/Lab, is there any way to bring it back?

A.   Unfortunately, once a Co/Lab is deleted, there is no way to bring it back. Deletion is permanent. Please be mindful before deleting a Co/Lab

Q.   How long are Co/Labs chat histories saved in Allbound?

A.   Co/Labs are stored for forever

Q.   What is the use-case for adding an Allbound MDF Approver into a Co/Lab?

A.   A use case for adding MDF Approvers to a Co/Lab is if a user wants to collaborate and/or message the MDF approver about MDF requirements or why something was rejected/not paid, etc.

Q.   Can partner users communicate with their Channel Account Managers (CAMs) through the Co/Labs feature?

A.   Yes, partner users can communicate with their CAMs via Co/Labs. CAMs are associated to the partner's company, thus, they can be added.
