HubSpot Integration Testing Steps

Purpose

In this article, we will provide step by step instructions for User Acceptance Testing (UAT). This stage ensures that your internal team understands the integrated partners and pipeline process, has determined that the intended workflow is functioning as expected, and feels confident in going live with partners.

Step One - Create A Test Partner Company

Your Integration Specialist will work closely with you when it comes to mapping the fields you would like in Allbound. Once field mapping is complete, you will be instructed to do the following:

 

In Your CRM

  1. Create a new company with the word test in it (i.e. Partner Test Company), and website MUST BE testdomain.com.
    DO NOT USE THE NAME ALLBOUND FOR THE TEST COMPANY
  2. Change Allbound status from blank to “Active” or “Pending”
  3. Fill any fields that were mapped on companies with your integration specialist. You can reference your integration field mapping template/excel for the list of mapped fields.
  4. Save the record in HubSpot.



     

     

In Allbound

  1. Navigate to Gear Icon>Companies
  2. Confirm Test Account was created
  3. Click on Company>Edit
  4. Confirm the fields are populated correctly

In Your CRM

Review that the Allbound ID has populated

 

Step Two - Create a Test User

In Allbound

In an Incognito Window in your selected browser, register as a test user requesting an account
    Company Email: TestAccountName@testdomain.com
    Password: Passkey123!

*Note: Since you are registering with a pseudo email address, this email can not be activated the standard way and will require an admin on your team to activate the test user

As an admin, activate the new user in one of two ways:

1. Settings Gear Icon > Users > search for the new test user > click on the ellipses (three vertical dots) to right of the user in the menu > select activate.
2. Settings Gear Icon> Companies > Select Test Company Name > Members > search and select the new user > select the checkbox to the left of the user in the list > select the Bulk Actions dropdown > select "Update Status to Active" > Click Submit.

The Contact record will sync into your Salesforce on a 5-minute que.

In Your CRM

Confirm the following:

1. Contact was created in CRM
2. Contact fields are correct
3. Confirm Allbound ID field is populated

Step Three - Pipeline Testing

In Allbound

1. Go to Users > Search for your test user.
2. Use “Switch to” function to login as the test user created during the Contacts process

3. Navigate to the pipeline dashboard and create a new deal
     a. Fill out the form
     b. Submit the form
4. The deal record will sync into HubSpot on a 5 minute schedule. 

In HubSpot

1. Confirm the deal was created
2. Confirm the deal fields are correct (i.e. pipeline, stage, close date, etc.)
3. Confirm the Allbound ID field is populated

4. Confirm the Partner Company and Partner Contact we properly associated with the deal. 

5. Confirm the Prospect Company and Customer Prospect properly associated with the deal.

     *Important Note*: Each prospect contact and prospect company record will have an Allbound Deal ID associated with them, which indicates that they were sourced by a partner's deal reg from Allbound. The prospect companies and contacts Allbound ID field will remain blank, because the standard Allbound ID field on companies and contacts is reserved ONLY for partners

Next, while you're still on the deal in HubSpot:

Change the stage of the deal that follows the flow of your stage mapping, as documented on you mapping sheet from your Integration Specialist. 

In Allbound

Review the record updates in Allbound (sync runs every 5 minutes).

 

In HubSpot

Change the deal stage again as well as the amount and the close date.

In Allbound

Review the record in Allbound (sync runs every 5 minutes). Make sure all desired updates are reflected.

Testing HubSpot Deal Distribution

This only applies if you have deal distribution configured with your integration to send deals from HubSpot to partners in their Allbound pipeline. For more information, please reference this article: Lead Distribution With Allbound's CRM Integration

In HubSpot

1. Create a new deal that meets the criteria you would typically send to a partner.

2. Associate a customer/prospect contact record to the deal. 

3. Associate a customer/prospect company record to the deal. 

     Important: It is recommended to create net new test prospect records for this scenario to avoid confusion. Also, this will prevent any discrepancies if you've already tested with the customer/prospect before.

4. Associate a partner record to the deal, meaning the record contains an Allbound ID and exists in both HubSpot and Allbound from a previous sync. For testing purposes, it is recommended to use the partner test company you created in Step One of this document. 

     Important: Depending on how your distribution is configured with your integration specialist, you may or may not need to associate a partner contact record to this deal. Please consult with your integration specialist if you are unsure. If you find that you will need to associate a partner contact to the deal to distribute the deal directly to a rep in Allbound, it is recommended to use the partner contact record that you created in Step Two of this document with the email domain of @testdomain.com. 

5. Once all of your deal data is set, AND your associations are selected, then you must toggle the "Sync To Allbound" field to "Yes". Please make sure you leave the Allbound ID field blank. The integration will automatically assign an Allbound ID to the deal once it syncs. 

In Allbound

1. Wait about 5 minutes for the deal to sync.

2. Refresh the pipeline. 

3. Click into the deal you've distributed to the pipeline, and review the fields that have been populated.
